Youโve finished the report, exported the PDF โ and realised it has no page numbers. Or youโve merged chapters from different files and the numbering is now a mess. Rather than going back to the original documents, you can add page numbers directly to the PDF.
Why page numbers matter
- Readers can navigate and refer to pages โ โsee page 14โ only works if thereโs a 14.
- Printed documents stay in order if pages get shuffled or separated.
- Universities and institutions often require them in a specific format.
- Contracts and legal documents commonly use โPage X of Yโ so itโs obvious if a page is missing.
Choosing a position
| Position | Typical use |
|---|---|
| Bottom centre | Theses, reports, books โ the most common choice |
| Bottom right | Business reports, proposals |
| Top right | Academic papers in some styles (often with author name) |
| Bottom left / top left | Less common; used to match a specific template |
If your document will be printed double-sided and bound, bottom-centre is the safest choice โ it stays in the same place on left- and right-hand pages.
Choosing a format
- 1, 2, 3 โ clean and simple, best for most documents.
- Page 1, Page 2 โ clearer in business documents and forms.
- Page 1 of 24 โ ideal for contracts, invoices and anything where completeness matters.
Skipping the cover page
Most reports and theses donโt show a number on the title page. Two common conventions:
- The cover isnโt counted: numbering starts at 1 on the page after the cover. Use Skip first page with Start at 1.
- The cover is counted but not shown: the first visible number is 2. Use Skip first page and Start at 2.
Check which one your guidelines expect.
Thesis and project report tips
University rules vary, but these are common:
- Preliminary pages (declaration, certificate, acknowledgements, abstract, contents) are often numbered in Roman numerals (i, ii, iii).
- The main chapters start again at 1 in Arabic numerals.
- Numbers usually sit at the bottom centre, in the same font size as the body text or slightly smaller.
Workflow for a thesis: split the preliminary pages and the main chapters into two PDFs, number the main part starting at 1, then merge them back together. If Roman numerals are required on the preliminary pages, add them in your word processor before exporting.
Step by step
- Open the Add Page Numbers tool and choose your PDF.
- Pick the position and format.
- Set Start numbering at and tick Skip first page if needed.
- Adjust the font size (10โ12 works for most documents).
- Click Add page numbers, download, and check a few pages.
Before you number
- Merge everything first โ numbering should be the last step, after all pages are in the final order.
- Fix rotated pages before numbering, so numbers land at the bottom of each page as itโs read.
- Keep the original un-numbered PDF in case you need to redo it.

Can I use Roman numerals for preliminary pages?
Many universities use i, ii, iii for preliminary pages and 1, 2, 3 for the main text. Add numbers to the main section separately, or number the full document in your word processor before exporting.
Will page numbers cover my text?
Numbers are placed in the margin about a centimetre from the edge. If your pages have content right to the edge, choose a position that's empty, such as top-right.
Can I change the numbers later?
Run the tool on your original PDF again with different settings. Keep the un-numbered original until you're happy with the result.
